Receptionist

The Receptionist processes incoming telephone calls using the main console and receives all visitors. The Receptionist also performs administrative functions for various departments of Cass Information Systems and coordinates travel for all Cass locations.

Primary position responsibilities:

  • Answering the switchboard, routing calls to appropriate personnel, taking messages when necessary and leaving them on employees' voicemail.

  • Greeting customers, prospects, visitors, etc. while maintaining a friendly, professional company image, as well as assisting with conference room setup/cleanup for customer and prospect visits.

  • Coordinating and initiating travel arrangements for Cass employees at all locations, and maintaining a monthly report of all travel and associated costs.

  • Maintaining conference room schedule for Cass' conference rooms in order to ensure no conflicts in scheduling.

  • Maintaining a calendar of certain Cass employees' itineraries while they are on business trips, vacation, etc.

  • Maintaining the online Cass phone directory for all locations.

  • Typing correspondence, memos, departmental procedures, and special projects for various staff members of Cass.

  • Maintaining the Cass cross reference manual of all customer names and variations.

  • Working directly with delivery companies to make sure daily and special deliveries are handled in a timely manner.

  • Negotiating with hotels for customized rates for our visitors/customers.

  • Back up other administration staff.

  • Other duties as assigned.

Knowledge and minimum requirements:

  • Proficient typing and other administrative and clerical skills, including working knowledge of current software (i.e., Word, Excel, multi-line switchboard)

  • Proficient switchboard skills.

  • Excellent interpersonal skills to represent the company to customers, prospects, and other visitors.

  • Typing 60 wpm.

  • High school diploma or equivalent.

  • One year experience as receptionist.

  • Traveling planning experience preferred.
